webPDF at Infoniqa: A Key Component for e-Recruiting Software

Infoniqa uses webPDF within its e-recruiting application to enable high-quality conversions and create applicant folders in PDF format with a single click.
Offering such a feature within an applicant management system is a major advantage and led to a very successful partnership with Infoniqa in Thalheim bei Wels, which also has locations in Germany, Austria, and Switzerland. Infoniqa has now been working with SoftVision Development from Fulda for five years as a specialist in e-recruiting. With the integrated and modular Infoniqa ONE HR suite, the company supports all areas of HR work, from personnel and talent management to applicant and seminar management.
E-Recruiting Software from Infoniqa: Modular Applicant Management
Infoniqa offers digital solutions for all HR areas and has used webPDF as a system component in its applicant management software since 2015. Infoniqa's software and services are used by many well-known customers including Deichmann, Spar, XXXLutz, Wurth, and Fressnapf. More than 2 million employees in Austria, Germany, and Switzerland use Infoniqa solutions. A small excerpt from the reference and customer list can be found here.
In applicant management, Infoniqa stands out through sophisticated job posting control, automatable work steps, fast approval processes, and a clear overview of each applicant status and the next required steps. In addition, Infoniqa offers a broad recruiting portfolio spanning applicant management, job postings, e-recruiting including mobile and social media, reporting, and analytics. The applicant experience is also worth highlighting. Employees can work very conveniently with the applicant self-service portal. Various design optimizations are possible there, and applications are available as a so-called one-click application. This makes a major difference for HR departments because it speeds up processes and improves efficiency. With the one-click application, submitted materials are always available as a single PDF document that can be opened or printed with one click. When dealing with a large number of applications and many attachments in different formats, this is a substantial relief.
webPDF as an Important Piece of the Infoniqa One-Click Application
Michael Friedwagner, Head of HCM at Infoniqa, describes the use of webPDF in two scenarios:
- As a conversion tool within the applicant management system. Many documents arrive in different formats, and with webPDF they no longer need to be opened individually. The documents are converted in real time and can still be arranged in a specific order.
- webPDF is also used within the personnel file, especially when documents need to be printed and the personnel file must be available in a standardized format. Users can also define the document order there.
"webPDF naturally plays an important role in our work because Infoniqa, as a software provider with a focus on Human Capital Management, supports large companies that work with Infoniqa software. That software in turn uses webPDF as an integral component. Through that route, webPDF is effectively used internationally and converts countless applicant documents every day. End users themselves do not notice the software running in the background."
"Our collaboration with SoftVision Development and the introduction of webPDF started in 2014 with the first tests and officially went live in 2015. That means the software has now been in successful and stable use at our company for four years. The solution within applicant management has been delivered hundreds of times and is therefore used internationally. Before webPDF, we worked with OpenOffice. That led to two problems: on the one hand, there were certain installation prerequisites, and on the other hand, OpenOffice was difficult to monitor as a service. If an error occurred during conversion, we could not intercept it."
Friedwagner summarizes the situation before the use of webPDF. The advantages of webPDF impressed him all the more:
"It could be integrated seamlessly and delivered excellent performance. Stability during conversion was the most important criterion when selecting supporting software. Another major advantage is that documents that cannot be converted can be intercepted immediately. Even in the test phase, we were able to evaluate webPDF at a customer with especially high document volume, and its stability was convincing."
In summary, the biggest highlights of the software are its performance, stability, and the simple rollout of updates. The actual introduction also caused no problems, was technically clean, and required little effort.
Conclusion and Outlook on Further Cooperation with SoftVision Development
"webPDF is installed around 150 times as part of our software and is used worldwide. It is involved in the conversion of millions of applications per year. It should also be noted positively that support was only very rarely needed in recent years, because webPDF itself is maintenance-free, and when we did need support, everything worked perfectly. Looking ahead, we are interested in the OCR function, although there are no concrete plans yet. If there is one point of criticism at all, it would be that we would welcome even more, including personal, contact in order to strengthen and maintain the partnership even further."
