In this video tutorial, you can see how to convert emails in Outlook (MSG) or MIME (EML) format to PDF using webPDF. Text formatting and graphics are preserved, so the converted file reflects the appearance of the original email client.

In the video, we convert an email document with an attachment. After uploading the email and clicking Convert document, we select the target format (in this case PDF/A-3b). Then we enable Convert to PDF with attachments and receive the converted output.

Why convert emails to PDF?

Converting emails to PDF is useful when implementing proper email archiving. PDF is especially suitable because documents become non-editable and remain viewable independent of the operating system.

Email archiving is necessary in companies to meet legal requirements. It is also useful for later follow-up tasks and inquiries, because emails and related documents remain searchable and available.

Ideally, email archiving should be automated to save time and reduce errors. Storage costs should also remain low. Conclusion: audit-proof archiving in PDF/A format is a strong approach for transferring emails and attachments into a long-term archive.

Professional email management with long-term archiving

When converting emails, PDF/A-compliant formats should be used for secure archiving. If you want to process all internal and external email communication in one solution, webPDF offers these advantages:

  • webPDF can store emails and email attachments automatically as PDF
  • Email conversion works with almost all common formats
  • Central, server-side control of conversion and formatting processes
  • Formatting and embedded graphics are preserved in PDF output
  • Existing archive systems can be connected directly via PDF/A conversion
  • webPDF can process HTML emails (including CSS), RTF emails, and unformatted plain-text emails
